PayPal provides reports to help you manage day-to-day operations and provide transaction-level insight.

Reports are generated every 24 hours and placed on the PayPal site and the FTP server by 12pm daily in the leading time zone of the reporting window. Character encoding for reports is UTF-8.

The report is available via PayPal's website and the secure FTP server for 45 days after its delivery to the server.

In the future, these reports may be available in multiple versions. To take advantage of new versions, you can receive two versions of the same report concurrently (or non-consecutive versions of the same report) for testing and integration purposes. Contact your account manager for information on new or deprecated versions of the report, to enable access to different versions, and to request any changes in report distribution.

File record limit

A report file has a 150K file size limit. If a day’s transactions exceed this file size limit, PayPal splits the report across multiple files.

Access reports

To access reports, you'll need to contact your account manager or Merchant Technical Support to set up access to the reporting and batch job schedulers and to set the data format, CSV or TAB, for your reports.

After you've set up access, you'll also need to create an SFTP user account on the PayPal site.

Create an SFTP user account

PayPal’s report server is a secure file transfer protocol (SFTP) server that enables business partners and large merchants to fetch PayPal processing results. You can communicate with the server through the command line or any SFTP client of your choice, such as WinSCP, Cyberduck, or FileZilla. See PayPal Secure FTP Server Specification for more information.

  1. Log in to your PayPal account.
  2. Select Profile > Profile and settings.
  3. Click My settings.
  4. Click Secure FTP Users.
  5. On the secure FTP server users page, click Add.
  6. On the security measures page, confirm your identity by re-entering the full bank account number associated with your PayPal account and then click Submit.
  7. On the create secure FTP server user page, choose a name, access type, and password for your account; agree to the terms of use; and click Create User.
  8. The new user information appears.

Note: It can take up to 48 hours to create a SFTP server user account. PayPal sends an email message to your primary email address when the server is ready.
