Reporting and Reconciliation Guide
This page explains how to reconcile in-store card transactions processed via Verifone and Braintree with your Braintree reports and bank deposits. It is intended for finance, accounting, and operations teams who run close processes and need a repeatable way to match POS activity to Braintree data.
For a broader explanation of how money moves through the system, see the Money and Reporting Overview page, and for detailed report-by-report field descriptions and analytics use cases, refer to the Reports and Analytics Guide.
Choose your primary reconciliation keys
Accurate reconciliation starts with a consistent set of identifiers you can follow across systems. In most cases, you will rely on Braintree's orderId field as your primary key, combined with additional fields such as merchant account ID (MAID), store ID, and terminal or device identifiers to segment by location.
Using the Order ID field
The orderId field lets your POS or order management system pass its own sales order number or reference into Braintree, so that same value appears in Braintree's transaction and settlement reporting. You can concatenate multiple values (for example, store ID + terminal ID + receipt number) into orderId, as long as you stay within documented character limits, to make it easier to map records back to your in-store systems.
Using custom fields for extra detail
Custom fields allow you to attach additional structured data, such as "Store ID," "Terminal ID," or "Cashier ID," to each transaction for more granular reporting and reconciliation. These fields must be configured on your Braintree account before your integration can send values, but once enabled they become searchable and exportable in Braintree reports.
Understand which reports to use
Braintree provides several reports that work together to give you a complete view of in-store and ecommerce activity. For reconciliation, you will typically use a combination of transaction-level reports, disbursement or settlement reports, and dispute reports, depending on the level of detail you need.
Which reports are relevant for reconciliation
Use these Braintree reports together to reconcile in-store activity across your POS, Verifone, Braintree, and bank statements:
- Disbursement and Fee Report (DFR): Use this for transaction-level reconciliation of settled sales, refunds, voids, and associated fees, especially when you use net settlement.
- Disbursement Summary: Use this to match individual bank deposits by date and amount to what Braintree reports as disbursed.
- Settlement Batch Summary: Use this to verify which transactions were included in each settlement batch and to check expected deposits by card brand and payment method.
- Monthly Statement: Use this for month-end close and high-level reviews of total transactions, fees, and net disbursements by location.
- Transaction Lifecycle Report / Transaction Summary: Use these to confirm that the transactions you expect to see were authorized, settled, refunded, or voided before reconciling against deposits.
- Dispute Detail Report: Use this to understand how chargebacks and disputes affect your net settlement and explain differences between expected and actual disbursement totals.
For full field lists, delivery options, and scheduling for each report, see the Reports and Analytics Guide.
Run your daily reconciliation
A typical daily reconciliation process begins by confirming that the total net deposit on your bank statement matches the net disbursed amount in Braintree's disbursement or settlement report for the same date range. Once those totals are aligned, you can drill down into the detailed transaction report to match individual sales and refunds back to POS or Verifone records using orderId, store IDs, and other shared identifiers.
Example daily workflow
- Pull yesterday's bank deposits and identify the total net amount received for your Braintree merchant accounts.
- Run the corresponding Braintree disbursement/settlement report for the same funding date and verify that the net disbursed amount matches your bank total (or totals, if there are multiple deposits).
- If there are differences, use the transaction report for the associated settlement period to review individual sales, refunds, and disputes, matching them to POS or Verifone records using orderId, store ID, and other shared identifiers.
- Investigate any remaining variances by checking dispute/chargeback reports and, where applicable, AMEX or other external settlement statements for adjustments that may not appear on the same day as the original transactions.
Handle timing differences and T+X settlement
Because schemes settle funds to Braintree on different timelines, the set of transactions in a given disbursement may not correspond exactly to a single calendar day's POS activity. Your reconciliation process should account for "T+X" timing (for example, Tuesday's deposit reflecting Monday's settlements) and be prepared to handle late-settling transactions, adjustments, and disputes that appear in later reports.
AMEX and external settlement
If you use American Express with a direct or external settlement arrangement, AMEX transactions may settle and disburse on a schedule that is separate from your other card brands. In these cases, you may need to reconcile AMEX activity using both Braintree transaction reporting and your AMEX statements to fully understand the impact on your cash position.
